Month of Wedding Planning

For couples who have their wedding mostly planned and are looking for someone to pull everything together and make sure nothing falls through the cracks.

We will handle all the behind the scenes details leading up to your day, making sure everything runs smoothly so you can relax and fully enjoy your wedding.

With our tools, gentle guidance, and event expertise, you will step into your wedding day feeling calm, confident, and completely in the moment.

Services Include:

• Full day coverage by one (1) coordinator on the day-of (typically ends at 11pm)

• 2 Planning handover meeting(s): We’ll connect 4-6 weeks out to review everything, and again 1-2 weeks before the wedding

• Detailed timeline creation: I’ll prepare a customized day-of schedule (with vendor arrivals, music cues, ceremony lineup, reception details)

• Vendor confirmations: I’ll reach out to your vendors in the weeks before to confirm arrival times, special instructions, and final payments

• Template support: I’ll provide easy-to-use templates (music list, ceremony lineup, packing list, etc.) so you can hand things over in one clean package

• Rehearsal direction: I’ll attend and manage your ceremony rehearsal (typically the day before)

• Wedding day management (10–12 hrs):

  • Coordinate vendors, bridal party, and guests

  • Keep everyone on schedule - from hair & makeup to first dance

  • Manage transitions and announcements (ceremony → cocktail hour → reception)

  • Bring emergency kit for last-minute fixes

  • Manage any last minute issues that come up

• One point of contact: I’ll manage the flow so you, your families, and friends can be present

Pricing:

• Pricing for 1 planner + 1 assistant is $1,840 CAD

Discount (15% off) is available if you agree to let Katie Jay Events use your wedding photos on social media (with photo credit to the photographer and your final approval of which photos/videos can be used)

A 40% initial deposit is required to secure your booking and remaining balance is due before your wedding date.

Full Wedding Planning

For couples who are looking for the ultimate package and professional help planning your wedding from start to finish.

We will be with you right from the beginning, from helping you setup your budget and choose your vendors; all the way up to cueing when you walk down the aisle.

Services Include:

• + Everything included in the Month of Coordination package

• Full day coverage by one (1) coordinator and one (1) assistant on the day-of (typically ends by 11pm)

• Planning Meetings (virtual & occasionally in person) as required by the client, up to a maximum of 2 per month, including vendor meetings

• Budget Setup Assistance

• Vendor Contract Review & Negotiation Assistance

• Venue Recommendations & shortlisting assistance

• Vendor Recommendations in 5 areas of your choice including: DJ, Band, Entertainment, Musician, Ceremony Officiants, Theme Development, Flowers + Décor Rentals, Photography, Invitations, Wedding Stationery, Transportation, Favors, Cake, Videography, Hair and Make-up, Staffing, Parking, Permits

• Personalization Support: I'll help you brainstorm and plan how to make your wedding personal & intimate, which may look like decor ideas, fun games, or something completely different

• Template Support: I’ll provide easy-to-use templates (music list, ceremony lineup, packing list, etc.)

• One point of contact: I’ll manage the flow so you, your families, and friends can be present

DO YOU HELP WITH BOTH SMALL WEDDINGS AND LARGE CELEBRATIONS?

Absolutely. From cozy backyard weddings to 300+ guest affairs, I’ve done it all. My approach scales to fit your guest count and style.

DO YOU OFFER VIRTUAL OR DESTINATION WEDDING PLANNING?

Yes! I offer virtual consultations for couples outside Toronto. For destination weddings, I can plan and travel to your location, just note that travel fees are added.

HOW SOON SHOULD I BOOK YOUR SERVICES?

Most couples book 9–12 months in advance. If your wedding is sooner, reach out - I’ll let you know what’s possible and how we can make it work.

WE'RE READY TO BOOK! WHAT'S THE PROCESS?

You can inquire over email or by directly scheduling a consultation. Then I’ll send over a contract and invoice - once those are signed and settled, we’ll meet regularly (virtually or in person) to keep everything on track.

DO YOU HANDLE SETUP AND TEARDOWN?

I primarily focus on coordination, but I can help with simple setup and teardown as time allows within the schedule. For larger or more detailed setups, I recommend bringing in additional help.
